The Supply & Business Services Department is responsible for the preparation, sorting, handling, metering and administration of campus mail services and inter-campus deliveries. The main preparation and staging area is on the Surrey Campus and each campus maintains at least one main mail room with a key person responsible. Click here to view brochure.

The University Mail Clerk, Alan Burns, processed over 250,000 pieces of mail last year that included first class letters, small packets and parcels.
The inter-campus mail courier provides overnight delivery service. The schedule is for outgoing mail to be ready for pickup by 4 pm, to be delivered before 9 am the next morning. Drop-off and pick-up locations remain the same.
Internal Mail Procedures - inter-office and inter-campus mail
- Improperly addressed mail may be returned to sender.
- Where the sender is unsure of the recipient's address, s/he should make every effort to confirm it. In Lotus Notes inbox, go to Tools - Lookup for name, department and location.
- Department administrative assistants update mail information, in Banner; then mailroom staff update the mail boxes each semester.
- The mail service is for the use of Kwantlen employees only and is to be used for official Kwantlen business only.
- Access to mail rooms is restricted to Kwantlen employees.
- Items other than mail will be handled only when they do not disrupt the scheduled mail service.
- Individuals and departments with boxes are encouraged to pick up mail as frequently as possible.
- Senders should minimize demand placed on the internal mail system by, whenever possible:
- Using electronic mail (voice mail, fax, or E-mail)
- Using bulletin boards in the mail rooms and at other locations around the University in place of mass mailings.

Did you know that you can cut postage costs in half by using the correct size envelope for your correspondence?
For Example: A letter mailed in a #10 envelope will cost $.54, the same letter mailed in a 9 x 12 envelope will cost $1.18

In order to have outgoing post office mail posted promptly and efficiently, please use the following as a guide to assist you in proper procedures. Thank you.
How to prepare outgoing mail:
- Please fold down the flaps (behind each individual envelope) of #10 and 6 1/2 x 9 1/2 envelopes.
- Please pre-seal 9 x 12 business envelopes.
- Please separate US, and overseas mail from domestic.
- Some mail, in excess of 1,000 or more can be sent by bulk third class for a 30% reduction in postal charges.
Courier Info/Waybill Procedures
Kwantlen uses two couriers:
Novex courier 604.278.1935
To be used for Lower Mainland Service Only (phone or online pick up requests; waybills are not required).
A log book is available in each mailroom except Surrey Campus.
For Surrey Campus, come to Receiving with envelope, boxes etc. to go out.
Purolator should be used for all other areas including international service.

Cloverdale
Waybills can be obtained at Shipping & Receiving, main floor 1220
Langley
Waybills can be obtained in the mailroom.
Richmond
Waybills can be obtained in the mailroom or downstairs on the loading dock.
Surrey
Waybills can be obtained at Receiving.
- Please bring your envelopes, parcels, boxes etc. to be sent out, down to Receiving (workorder to Facilities if you are unable to bring them to Receiving yourself).
- Please call the courier and request a pickup, we can help you out if you are unsure of the procedures.
- Preferable payment method is your Pcard (Visa).
