Smart Card - Photocopying
There is no charge to Faculty or Employees for photocopying. For access and reporting purposes the smart card readers are being set at 5-cents per copy so when cards are fill or refilled with $100 they will provide 2,000 copies. Refills up to $200 can be provided for 4,000 if required for large volume users.
Employee Smart ID Card - available for Photocopying as of August 2003 - for Full time Faculty and Staff can obtain and refill their Employee Smart ID Cards at Campus Bookstores issued at no-charge for all required Photocopying - click here for details on Policy E.16
Staff Card - still available for Photocopying - for Temporary or Contract Employees who have not obtained an Smart ID Card will be provided a Staff Card issued at no-charge with a card from their Department or Campus Bookstores that can be used and refilled with an approved form.

Q: When will the new Employee Smart ID Cards be ready and how will they be issued ?
A: New Employee Smart ID Cards will be available in August 2003 from the Library Checkout Desk. Once issued, employees can still use their existing Staff Card for photocopying until it needs refilling. Q: How did the planning process begin for new Employee Smart Cards ?
A: The first of the interdepartmental meetings in October 2000 brought together staff from the Facilities, Finance, IET, Library, Material Management, Print Shop and Registrar's Office to discuss how the new library card Y2K compliant software could be used to develop a multipurpose card for students and employees. Over the next three years this discussion group held a series of meetings to discuss, propose and find common solutions. In 2003, a design committee from Facilities, Library and Marketing create several designs for these new Smart ID Cards and once approved started to produce and test these new cards.
Q: How is this new Employee Smart ID Smart Card an improvement ?
A: Established as a multipurpose card, it will be your Kwantlen ID Card, Library Borrowing Card, a photocopy card, and some day can be used for door / facility access. As a photocopying card, the your name and picture will help lost and misplace cards be returned to their owner and with higher limits than the Staff Card will be more convenient.
Q: How will copier usage be managed using this card ?
A: When a card is issued your name and employee number along with the smart chip serial number are recorded by the Library into Smart Track software, that will then collected and report data as to photocopying needs, reported back to your Department head. Employees will be able to make the necessary amount of copies they need anytime. Usage Reports will be issued to allow each department to review their copy volumes.
Q: Is there a cost for Copying ?

Q: How can I prevent the Card from running out of cash during a large copying job ...... and can the remaining balance be checked and reloaded before it runs out ?
A: Yes ... the opening and closing balance is always shown during each job, and it is recommended that when the remaining balance is less than $20 or 400 copies ... the Card can be refilled with an additional funds.
Q: Is the Card necessary for sending Print Jobs to the Print Shop ?
A: No. Jobs submitted on ePrint or Print Requisition form G2550 providing your department name / org. code.
Q: What if I can not carry this card in my wallet, how will I carry it with me ?
A: Each user will need to decide the best way to carry and keep the card secure, similar to the ways driver's license or bank cards sometimes need to be carried. To help with some solutions, the Bookstores will have a special card punch tool so the card can be punched with a hole for accessories such as pocket clip, key chain ring, lanyard, etc; and these accessories can be purchased at Campus Bookstores.
Q: What if I loose my Employee Smart ID Card ?
A: Lost cards can be re-issued by the Library and temporary Staff Cards can be obtained from the Bookstore for emergencies.
Q: If I change Departments do I need to notify the Print Shop?
A: No. The Smart Track software will be updated automatically from Banner, and any changes will be updated by existing software reports.
Q: What if I want to make Copies for Personal Use that is non-work related ?
A. The Cash Card, shown below, is on-sale at Campus Bookstores that can be used for this purpose. Note: as per our current practice, Students will not have access to Copy Centres Copiers. Faculty and Staff can use a Cash Card in Copy Centres or on any office copier for convenient personal copying whenever required.
