Payroll
IET supports the delivery of Payroll services to the University. Payroll is a sub-service of the Finance department and IET’s role in supporting this service is primarily in application, server, connectivity and disk storage pre-service. The payroll service encompasses all aspects of payroll operations at the University. This includes payments to employees, cheque printing and deductions and remittances in accordance with the University policies, collective agreement and government regulations. Cheque printing requires network based file transfers from multiple systems.
IET is responsible for the creation of new accounts relating to this service, but granting or revoking of security levels for specific module access is primarily governed by Banner security managers in the appropriate client departments.
Eligibility
This service is available to authorized Kwantlen Polytechnic University employees in the Human Resources, Financial Services and Payroll Services departments and limited access is granted to Deans and Deans’ assistants where appropriate. Authorization is required from the appropriate department administrators and Banner Security Managers.
IET Responsibilities
- Perform all Account Management tasks related to creation of accounts for access to this service.
- Perform all Server Administration tasks related to the server upon which this service runs.
- Perform all Disk Management tasks related to the server upon which this service runs.
- Perform all Back-up and Recovery service tasks related to the server upon which this service runs.
- Perform all Application Development and Maintenance tasks related to this service to ensure the application is operating in an optimal state and continues to meet business requirements..
- Apply tax updates to the Banner HR/Payroll module in January and July in compliance with the Federal and Provincial taxation changes.
- Apply tax year-end updates to the Banner HR/Payroll module in January in compliance with CRA's T4/T4a taxation changes.
- Ensure that cheque files generated from Banner are transferred to the appropriate networked drives.
- Develop processes for the users in streamlining their processes and/or interfacing with Banner.
- Maintain the network connectivity of the cheque printer as well as all standard maintenance relating to wear and tear.
- Ensure that payroll direct deposit files generated from Banner are transferred to the appropriate networked drives for subsequent online transfer to the bank via internet.
- Maintain secured internet access required for online transfer of funds and information to external organizations such as the bank, CRA, BC Pensions Corporation, Canada Pension Plan, Canada Saving Bonds, etc.
- Ensure that employees’ payroll, T4/T4a information is accessible to employees via Online Employee Self-Service.
- Report unresolved incidents to the vendor, track the incident status, and keep the end-users informed.
- Record related inquiries and assign each a unique tracking number.
- Assign all inquiries a service priority.

IET Regular Weekly Downtime Window.
The downtime window is 5pm Saturday to 10am Sunday, the period of time during the week when usage of the Kwantlen systems and network resources are at the lowest. IET will aim to schedule most minor system changes during the window thereby minimizing disruptions. The window will be superceded if critical Kwantlen activities (e.g. web registration deadline) occur at the same time.
