Ministry Reporting (Data Warehouse)
IET supports the delivery of Ministry Reporting service to the University. IET provides support to the Student Services, Financial Services, and Institutional Analysis & Planning departments in preparation of data for submission to the Ministry of Advanced Education twice a year (end of May and Oct). These reports contain standardized data relating to student demographics, programs, credentials, courses, session registration and campuses.
This bi-annual process will normally start 2 to 4 weeks ahead to give lead time to do data clean-up, quality assurance, add changes from Ministry and also re-run the extraction if necessary. This is a restricted access system available only to users authorized to review such reports. All Users will use a set of specific reports that are provided by Ministry to validate data and calculate FTE (student full time equivalent).
Eligibility
This service is available to Kwantlen Polytechnic University employees in Financial Services, Student Services, Institutional Analysis & Planning departments upon authorized request from the appropriate Directors.
IET Responsibilities
- Perform all Account Management tasks related to creation of accounts for access to this service.
- Perform all Server Administration tasks related to the server upon which this service runs.
- Perform all Disk Management tasks related to the server upon which this service runs.
- Perform all Back-up and Recovery service tasks related to the server upon which this service runs.
- Perform all Application Development and Maintenance tasks related to this service to ensure the application is operating in an optimal state and continues to meet business requirements.
- Record related inquiries and assign each a unique tracking number.
- Assign all inquiries a service priority.

IET Regular Weekly Downtime Window.
The downtime window is 5pm Saturday to 10am Sunday, the period of time during the week when usage of the Kwantlen systems and network resources are at the lowest. IET will aim to schedule most minor system changes during the window thereby minimizing disruptions. The window will be superceded if critical Kwantlen activities (e.g. web registration deadline) occur at the same time.
