Scanning in Office 2010


With the upgrade to Microsoft Office 2010, and Kwantlen’s use of networked MFD’s (Multi-Function Devices which can print, copy, fax and scan depending on installed options) the scanning process has changed. Here are the instructions to setup scanning.

Install Network ScanGear

  1. Call the IET Service Desk to install Network ScanGear. This has to be installed and setup only once.
  2. Run IrfanView (you may wish to make a shortcut on your desktop)
  3. Click on File / Select TWAIN Source
  4. Select Network ScanGear (this has to be done only once for each user)

To Scan Single-Page Documents

  1. Place the document in the scanner
  2. On the MFD control panel, set the scanner to “ Online ” (this will disable other MFD functions)
  3. Run IrfanView
  4. Click File / Acquire
  5. Click the Scan button
  6. Save the scan as a file (see about image file formats below) or print to Cute PDF Writer
  7. Remove the document from the scanner .
  8. Set the scanner to “ Offline ” (the will re-enable other MFD functions).

To Scan Multiple-Page Documents

  1. Place the document in the scanner
  2. On the MFD panel, select Scan and set the scanner to “ Online
  3. Run  IrfanView .
  4. Click File/Batch Scanning.
  5. In the Output file name field , type an appropriate name for the file.
  6. At the end of the Destination Directory field, click on Browse to select a location to save the file and click OK .
  7. Change the Save as field to TIF – Tagged Image File Format . (see about image file formats below)
  8. Check the box for Save as multipage image (if TIF format used).
  9. Click on OK.
  10. If the item is being scanned from the platen glass then change Original Placement to Platen. You can also specify if the original is double side rather than single sided.
  11. Click the Scan button.
  12. After all pages have been scanned you will receive the following prompt:
  13. If there are no more items to scan click on Cancel
    If there are more items to scan, then put them in the feeder or on the platen glass and click OK .
  14. Open Windows Explorer and go to the location where you saved the scanned TIF file and open it.
  15. A Windows Pictures and Fax Viewer window will open.
    Below the image click on the print icon.
  16. A Photo Printing Wizard window will open, click Next .
  17. At the Picture Selection window, click Next .
  18. At the Printing Options window, click on the drop down arrow to select a printer.
  19. In the Print window, choose CutePDF Writer from the drop down list and click on Next .
  20. Click on Next at the Layout window.
  21. A Save As window will open.
  22. In the Save In field, choose an appropriate location to save the file.
  23. In the File name field, enter an appropriate name for the document.
  24. Click Save .
  25. Remove the document from the scanner.
  26. Set the scanner back to “ Offline ”.

  • It is free software available at http://www.irfanview.com
  • It can be used to view and do basic editing on image files.
  • It can resize, recolour, rotate, sharpen and crop images.
  • It can save images as different file formats.
  • It has good printing features.
